Overview
Willow is relaunching the Reports feature with a complete reimagining of how reports are created, who they are for, and, most importantly, the content contained within the report which should drive decision making and data-driven decision making.
Reports are now generated by an agent using Willow's industry-leading AI companion, Copilot. Reports are created with a series of prompts, generate on a predefined schedule (i.e. daily, weekly, monthly), and can be sent out via e-mail or SMS to individuals or entire teams.
Why reports and why now? Willow Copilot in the Willow App is great for real-time interactions that are dynamic, spontaneous, and in natural language. But, there are two challenges:
- We often a need to get get answers to the same prompts on a routine basis. Willow users have been spending time refining, tuning, and perfecting their Copilot prompts such that they get the most concise response. Once they are happy, users didn't have a way in the Willow App to store and and re-run these.
- Likewise, organizations want to encourage collaboration. If my colleague has refined a prompt that benefits them, chances are it could benefit me and the entire team as well.
Reports solves both of these challenges via generating on a pre-defined schedule and leveraging Willow's robust location and role-based access management solution making them available for groups.
Creating a new report
Navigate to the Reports page via the Navigation Menu and select Create Report.
Enter a name for your report and select the Add location button.
Single Building Report vs Multi-Building Report
When selecting locations, decide whether you want individual reports for each of your locations or a single report which contains content for multiple locations. If you select a Single Building Report, you can add as many locations as you would like and each of these will generate an individual report for each of the selected Buildings. If you select Multi-Building Report, a single report will be generated based on the selected Land (i.e. Site or Campus), Region, or entire portfolio if All Locations is selected.
Adding Content
Now it's time to define the content in the report. This is done via prompts which will be passed to Willow Copilot each time the report is generated to produce the content. Content can be organized into sections which helps not only with presenting the content in an organized way for the reader, but it also informs Copilot to generate that section independently of how it has reasoned through previous or following sections. Section headers are recommended to enhance the formatting.
If you want to see how your prompt will behave, you can select Generate preview:
You can also preview the entire report by selecting Preview Report at the top of the page:
Once you like what you have, it's time to schedule the report.
Scheduling the Report
Reports can be setup to run on a daily, weekly, or monthly frequency.
- Daily Report: Select a frequency of Weekly, every 1 Week, and every day you want it generated.
- Weekly Report: Select a frequency of Weekly, every 1 Week, and select a single day of the week you want it generated.
- Monthly Report: Select a frequency of Monthly, every 1 Month, and select the day of the month you want it generated.
Note: The reports will generate in the local time zone for each of the selected locations and not the time zone of the person creating the report.
One-time Reports
Reports can also be generated once rather than scheduled. This is useful if you are just starting out and wanting to refine your report before putting it on a schedule.
Configuring Notifications
When reports generate, they are accessible via the Reports page in Willow App. It's also useful to get a notification in the form of an e-mail, SMS, or in app when the report is available.
Notifications can be setup for yourself (Personal) or a team (Group) similar to configuring notifications for insights. Adding notifications is a 3-step process:
- Select one or more channels (i.e. E-mail, SMS, or In App)
- Select Personal or Group. If Group is selected, choose one or more groups.
- Select Add notification to add this to the report.
Viewing Reports
Once reports are generated, you will see them listed on the Reports page, and you can select them to view the report:
You can also see previous versions of the report by selecting the drop-down in the top right:
