Requestors & Workgroups

Within the administration area of the WillowTwin™ platform, users with the appropriate permissions have the ability to perform a wide range of functions to maintain sites, as well as create and manage users, requestors and workgroups.

Requestors and Workgroups are used in conjunction with the Tickets and Inspections features of the platform. Specifically, requestors allows users to quickly identify who may be making a request for maintenance which requires the creation of a ticket. Workgroups allows admins to group certain users together again, for the assignment and completion of tickets, inspections or to receive notifications related to inspections. 

Requestors

As mentioned above, requestors allows users who are creating tickets to identify who is making the request for service. By creating these requestors ahead of time, users can quickly create a ticket by selecting the individual, which will then auto-populate the contact information for that person into the ticket.

Creating a Requestor

Requestors can be created by users who have Admin access:

  1. Click the menu button in the main toolbar
  2. Click Admin from the main menu
  3. Click the Users tab
  4. Click the Requestors tab near the top left
  5. Click Add Requestor mceclip0.png
  6. Complete as many fields in the Requestor window, ensuring all required fields have a value
    1. Site* (required)
      1. From the drop-down, select the site the person works at
    2. Name* (required)
      1. Enter the name of the requestor
    3. Email Address* (required)
      1. Enter the email address of the requestor
    4. Contact* (required)
      1. Enter the phone number if the requestor
    5. Company (optional)
      1. Enter the company the requestor works for
  7. Click Save

Editing a Requestor

If an edit is required to the details saved on a Requestor record, this can be done as well:

  1. From the Admin > Users > Requestors tab, browse or search for the user
    1. Type the full or partial name of the requestor in the search field, and/or use the site drop-down to filter the requestors by site
  2. Click on the name of the requestor from the list
  3. Edit the fields as needed
    1. Note: the site cannot be changed

Workgroups

Workgroups provide a way to group one or more users who can than be assigned to tickets, inspections and to receive inspections summary notifications. Be mindful if your WillowTwin™ platform has more than 1 site, as workgroups are site (building) specific.

Workgroups are required for the creation of inspections.

Creating a Workgroup

  1. Click the menu button in the main toolbar
  2. Click Admin from the main menu
  3. Click the Users tab
  4. Click the Worgroups tab near the top left
  5. Click Add Workgroup
  6. Complete as many fields in the Workgroup window, ensuring all required fields have a value
    1. Site* (required)
      1. From the drop-down, select the site the workgroup belongs to
    2. Name* (required)
      1. Enter a name for the workgroup
    3. Users (optional, users can be added/removed at anytime)
      1. Search for and select the user(s) who should belong to the workgroup
  7. Click Save

Editing a Workgroup

Edits can be made to workgroups as well, should users need to be added or removed to a workgroup.

  1. Navigate to the Admin > Users > Workgroups tab
  2. Click on the Sites drop-down, select the site the workgroup pertains to
  3. Edit the Name field if required
    1. Note: Site cannot be changed
  4. Users
    1. Click the X to the right of the user's name to remove them from the workgroup
    2. Click in the empty field at the bottom of the list of users to search for and select additional users
